Job Summary
The Project Management Officer (PMO) is responsible for coordinating, monitoring, and supporting the successful planning and execution of strategic and operational projects across the Organization. The role ensures projects are delivered within scope, budget, and timelines while maintaining alignment with organizational objectives. The incumbent will facilitate project governance, monitor performance, manage project documentation, track risks and dependencies, and provide regular reporting to stakeholders.
Key Responsibilities
Project Planning & Coordination
- Support the development of project charters, implementation plans, work breakdown structures, and project schedules.
- Coordinate project activities across departments to ensure timely execution.
- Monitor project milestones, deliverables, and timelines.
- Facilitate project kick-off, review, and close-out meetings.
- Ensure project documentation is complete, accurate, and up to date.
Project Monitoring & Reporting
- Track project progress against agreed timelines, budgets, and performance indicators.
- Prepare weekly, monthly, and quarterly project status reports for management.
- Escalate project risks, issues, and delays with recommended mitigation actions.
- Monitor project resource utilization and implementation performance.
- Develop dashboards to communicate project status and performance metrics.
Stakeholder Management
- Coordinate communication between project teams, management, vendors, and other stakeholders.
- Schedule meetings, prepare agendas, record minutes, and follow up on action items.
- Foster collaboration across functional teams to achieve project objectives.
Governance & Compliance
- Ensure projects comply with organizational project management standards, policies, and governance frameworks.
- Maintain the organization’s project repository, templates, and documentation.
- Monitor adherence to approved project methodologies and reporting requirements.
- Support project audits and post-implementation reviews.
Risk & Change Management
- Identify, document, and monitor project risks and issues.
- Coordinate risk mitigation and contingency planning.
- Track change requests and ensure appropriate approvals are obtained before implementation.
- Monitor the impact of scope changes on project timelines and budgets.
Continuous Improvement
- Recommend improvements to project management processes, templates, and reporting tools.
- Capture lessons learned and promote best practices across projects.
- Support organizational initiatives aimed at improving project delivery and operational efficiency.
Key Performance Indicators (KPIs)
- Percentage of projects delivered on time.
- Percentage of projects delivered within budget.
- Milestone achievement rate.
- Timeliness and accuracy of project reporting.
- Number of project risks resolved within agreed timelines.
- Stakeholder satisfaction with project coordination.
- Compliance with project governance standards.
- Percentage of action items closed within agreed timelines.
Qualifications
- Bachelor’s degree in Project Management, Business Administration, Engineering, Information Technology, Healthcare Management, or a related discipline.
- Professional certification such as PMP, PRINCE2, CAPM, AgilePM, Scrum Master, or equivalent is an added advantage.
- Certification in Lean Six Sigma is an advantage.
Experience
- Minimum of 3–5 years of experience in project coordination or project management.
- Experience managing cross-functional projects.
- Experience using project management tools such as Microsoft Project, Jira, Asana, Monday.com, Trello, ClickUp, or similar platforms.
- Experience within the healthcare industry is an added advantage.
